As-built vs as-running: identifying the right spare parts
Engine documentation is an important starting point for spare parts identification, but after years in operation it does not always tell the complete story.
Marine diesel engines are maintained, repaired and modified throughout their lifetime. Components are replaced, designs are updated and, in some cases, the configuration running on board no longer fully corresponds with the original as-built documentation.
This is where spare parts identification can become more difficult than simply looking up a part number.
After more than 30 years of supplying marine engine spare parts, there is a good chance that we have already dealt with the same vessel, engine type, component or application before. Previous quotations, supply records and technical references can often help us determine which specification was used in an earlier supply.
Where that information is not sufficient, identification can continue from the vessel side.
Photographs, nameplates, identification numbers, casting marks, dimensions and other details from the actual component can often provide the missing information. In many cases, a few clear pictures from the engine room are more useful than relying solely on an old parts list.
The process can also work the other way around.
If we identify a likely component from our records or technical documentation, we can provide a drawing, sketch or dimensional reference for the operator to compare with what is actually installed on board. This allows the crew, superintendent or technical department to confirm critical details before the part is ordered and shipped.
This becomes particularly relevant on engines that have been in service for many years, where previous repairs, upgrades or component changes may have moved the installation away from its original as-built condition.
The objective is not to complicate the identification process, but to establish the as-running configuration as accurately as possible before committing to supply.
Combining historical supply records, technical documentation and confirmation from the vessel gives us a practical way to work through identification questions before they become problems during maintenance.
If a requirement comes in with an unclear part number, an old drawing or limited information, that is usually still enough to start the identification process.
